The Role

For the COO, manage the efficient administration of our small Cardiff-based business. You are required to do all the groundwork that is presently done by the COO to administer the business, with a strong sense of organisation, and eye for detail, and a love of seeing a job done to completeness.


Ship Shape has good relationships with its accountants, book-keepers, Company Secretariat advisors, lawyers, HR advisors. You are not expected to be a single-point expert at any of these things. You are however expected to engage with those experts directly.


What you’ll be doing:

Primary responsibilities:

  • Management

    • Run management processes and meetings

    • Own and manage collation of dashboards (Mgmt overview, Product, Sales & Marketing, etc)​

    • Monitor and police actions arising from weekly Mgmt meetings

  • Finance

    • Monitor the General Ledger

    • Own finance tasks e.g. annual R&D tax claim, government grant claims

    • Own HMRC processes (maintaining portal)

    • Prepare expenses for the book-keeper

    • Monitor and manage HMRC reporting and other needs

    • Credit Ledger: manage billing and collection

    • Instructing payroll provider/ taking payroll in-house

    • Preparing monthly reconciliation/ taking book-keeping in-house

  • Documentation and Information Control

    • Own the company's internal Document Structure and taxonomy​

    • Police what is filed in which drive, when, and why

  • Suppliers

    • Manage on-boarding e.g. contract review inc. payment terms​

  • Company Secretariat

    • Ensure all Minutes, Actions are taken in accordance with the guidance from our CoSec advisors​

    • Manage investor and option-holder documentation

    • Manage Option valuation process

    • Monitor and manage Companies House filing and other needs

 

Other responsibilities (less frequent):

  • Risk Management​

    • Run the company's risk identification and management process​

  • Sales

    • Review contracts and escalate issues that you see, and suggest improvements​​

  • HR

    • Maintain Policies and Procedures

  • Risk Management​
    • Run the company's risk identification and management process​

The C-Suite can manage their own calendars, book own meetings, write own presentations, arrange own travel. You don't need to do that, this is an Administration role not an EA role.

 

We are looking for someone with experience of the following:

  • Min. 5 years Professional experience in Business Administration

    • ​Must include hands-on management of accounts, financial control

  • Mandatory, must haves:

    • Xero, Sage, or similar experience (we are on Xero)​

    • Familiarity with gov.uk/HMRC portals (PAYE, Corporation Tax, VAT, etc)

    • Proven accountability for finance reconciliations

    • Strong Excel skills​​

    • Experience in reviewing contracts from a practical perspective

    • Must have suffered from disorganisation and know that it's worth avoiding!

  • Optional​

    • All Company Secretariat duties. We recognise that many people are not exposed in their careers. We will teach it if you don't know.​

    • HR policy and procedure knowledge

    • Note: must be UK​-based, with UK National Insurance number. Preference for Greater Cardiff Region, though this is optional for the right candidate.
